Job Description:

The Administrative Assistant is to offer administrative support to the pastoral staff in the fulfillment of the overall mission and strategy of the church. The mission of FBC Longwood is to glorify God by making disciples of all peoples, from every generation, in every household.

Summary Statement of Overall Job Description

The Administrative Assistant will seek to fulfill the mission of FBCL by offering administrative support to the pastoral staff and ministries of the church.

Specific Responsibilities: 

  1. Manage the front desk during office hours (Monday through Thursday, 9am-3pm. Specific days and work hours determined based on availability and need).
  2. Welcome guests in the office and answer phones during office hours
  3. Maintenance and organization of reception area
  4. Check messages and forward information accordingly
  5. Process incoming mail
  6. Monitor and order office supplies
  7. Oversee the use and maintenance of copiers
  8. Maintain appropriate filing system and copies of important documents
  9. Maintain accurate membership roles
  10. Collaborate with staff on preparation and printing of weekly publications
  11. Maintain Sunday School roles and prepare weekly attendance folders
  12. Order and distribute Sunday School Materials
  13. Deliver weekly reports to pastoral staff including worship attendance, Sunday school attendance, and financial report
  14. Maintain church calendar and update web calendar
  15. Update any social media platforms with pertinent announcements
  16. Prepare any correspondence needed
  17. Coordinate office volunteers
  18. Track prayer needs and prepare weekly prayer bulletins
  19. Attend staff meetings
  20. Offer administrative support to ministry efforts in the church as needed
  21. Coordinate with deacon chairman in order to properly maintain record of deacon families
  22. Coordinate with staff and volunteers for special events (e.g., Church Anniversary, Directory, Widows Banquet, etc.)
  23. Distribute church property keys as allowed and maintain a distribution list
  24. Communicate maintenance needs to appropriate staff or volunteer
  25. Serve as liaison between outside organizations and church office
  26. Forward benevolence requests to appropriate deacons
  27. Other responsibilities as they develop and are assigned

Evaluation and Review 

  1. The Administrative Assistant will report to the Senior Pastor or other designated pastoral staff member.
  2. An informal semi-annual review will be conducted by the Senior Pastor or other designated pastoral staff member in order to gauge the Administrative Assistant’s midyear performance as well as to give him or her opportunity to discuss any issues pertaining to his or her job.
  3. An annual review will be conducted by the Senior Pastor or designated pastoral staff member in cooperation with the Staff Support Committee in order to assess overall performance of duties and to give the Administrative Assistant an opportunity to share his/her view on the overall direction of the church and his/her role in that direction.
  4. All merit-based increases will be determined in cooperation between the Staff Support and Stewardship Committees in consideration of budgetary realities.

This individual must be seeking the Lord and growing through his or her own practice of spiritual disciplines. It must be evident that he or she is regularly applying God’s word to life, decisions, and actions.
  2. Committed to a team atmosphere among coworkers. Must strive to support overall vision of the church and leadership of the Pastoral Staff.
  3. Foster and advocate unity within the church and the church staff.
  4. Strong computer experience with proficiency in Microsoft Office and related applications.
  5. Ability to learn new computer programs.
  6. Must be an organized individual who can finish assigned tasks in a timely fashion.
  7. Must be friendly and open to communicating regularly with the church family.
  8. Must maintain confidentiality when needed regarding the personal situations of church members.
  9. Expected to dress in a professional manner
