Job Description:

The Office Manager is a highly organized, detail-oriented, and motivated professional who anchors the staff team at Kidz2Leaders and enhances the efficiency of the ministry.


Responsibilities of the
Office Manager will include but are not limited to the following: 


Office Management

  • Manage daily office operations such as greeting visitors, answering phones, checking voicemails, ordering supplies, monitoring general K2L inquiry emails, and receiving/delivering incoming and outgoing mail
  • Ensure K2L has the equipment and technology needed to run smoothly, and coordinate maintenance of equipment as needed (laptops, tech for virtual meetings, printer/copier/scanner, online platforms)
  • Oversee the cleanliness, functionality, and comfort of the K2L office, communicating with cleaning service, landlord, or handyman services to ensure tasks are completed
  • Help maintain general office organization and tidiness in shared spaces
  • Ensure safety of the K2L car by scheduling maintenance and repairs, and renewing registration


Executive Support

  • Assist the Executive Director as needed with emails, scheduling, reporting, meeting preparation, pitch decks, and more
  • Provide similar support, from time to time, to other members of the K2L leadership team
  • Work with the ED on special projects, which could include improving or streamlining processes, new activities with partners, community relations endeavors, or other short-term initiatives
  • Support communication with the Board of Directors, including preparations for quarterly K2L Board Meetings, board governance, or report preparations


Administration

  • Record all in-kind program donations from community partners and individuals
  • Help prepare for any in-office programming by setting up the space, prepping A/V, and printing
  • Help maintain the integrity of the K2L CRM database (Ministry Platform), and serve as the point person for CRM-related special projects
  • In partnership with the K2L Communications Contractor, support ongoing communications tasks including but not limited to social media posts, updating the website, creating and sending newsletters, and making flyers/one-pagers
  • Maintain an ongoing K2L calendar that includes all programs, events, fundraisers, and major meetings
  • Maintain shared K2L online accounts or subscriptions with passwords and billing info (Canva, Office 365, etc.)
  • Support program or development print campaigns by procuring materials, assembling, and sending out
  • Order or print K2L promotional materials (brochures, one-pagers and branded gifts, to name a few)


Human Resources & Culture

  • Plan meaningful team celebrations for holidays, birthdays, work anniversaries, and special milestones
  • Help ensure the K2L office is a fun place to be with seasonal festivities and traditions
  • Manage hospitality efforts, such as sending cards, meals, and/or support to K2L participants and volunteers in need
  • Support the hiring process of permanent and seasonal staff by running background checks and other screenings, and assisting with new employee onboarding (paperwork, account creation, basic training)


Programming

  • Assist with short-term projects for Camp Hope, Anchored2Hope, Interns4Tomorrow and Hope4Christmas, as needed, in advance of major events
  • Attend some K2L events to provide support to the programming team

Position Qualifications:

 

  • Unquestioning alignment with the K2L Statement of Faith and eagerness to serve within a mission-driven, growing organization

 

    • Bachelor’s degree
    • High level of organization, attention to detail, and ability to manage simultaneous projects
    • Experience working within a ministry, church or nonprofit preferred
    • Exceptional interpersonal and communication skills, both written and verbal

 

  • Strong organizational and project management skills, with the ability to manage multiple priorities and deadlines
  • Ability to work independently and as part of a team
  • High level of professionalism, integrity, and confidentiality
  • Passionate about the K2L’s mission and values
  • Self-motivated, with a strong work ethic and positive attitude
  • Ability to build and maintain strong relationships with a diverse range of stakeholders

 

 

Additional Information

Position is salaried/non-exempt with a baseline 20-hour work week, Monday to Thursday, and opportunities to earn overtime during busy seasons up to 28 hours per week. 

The K2L team works out of our office in Marietta/East Cobb.

Benefits include nearly eight weeks of paid leave, including vacation, sick leave, and holiday office closures, as well as a monthly benefits stipend intended to help cover individual insurance/medical costs.

Kidz2Leaders is a faith-based nonprofit working to end generational incarceration. Through a 10-year continuum of programming, beginning at age eight and provided at no cost to families, we provide stability, opportunity, and a Christian community for children of inmates. Each year we serve 700+ children and family members in the Atlanta Metro area through four distinct, ongoing program platforms, an effort that involves over 800 volunteers and a growing staff team.
