Vista Community Church – Office Administrative Assistant
Position: Part-time (24 hours per week, Mon – Thurs, 9:00 AM – 3:30 PM, 30-minute lunch break)

Position Overview

The Office Administrative Assistant plays a vital role in ensuring the smooth operation of Vista Community Church by managing administrative tasks, supporting communication efforts, and maintaining organization within the office. This position requires strong attention to detail, excellent communication skills, and a heart for serving the church community.

Primary Responsibilities

General Administration

  • Answer phone calls, respond to voicemails, and relay pertinent information to staff and church leadership.
  • Manage the info@vistachurch.com email account.
  • Monitor the church entrance and respond to the doorbell during office hours.
  • Process and distribute incoming mail.
  • Ensure timely payment of bills within designated billing periods.
  • Record all incoming payments (donations and non-donations) and secure them in the church safe.
  • Communicate weekly with the Counting Team leader to ensure accurate financial recording and deposits.
  • Hand off the weekly deposit to the bank courier on Mondays.
  • Enter reimbursement and bill payment requests into Simplify, the church’s accounting portal.
  • Maintain and safeguard the church’s digital and physical filing systems.
  • Assist in preparing documentation for the church’s annual CPA review.
  • Monitor office and facility supply inventory, placing orders as needed.
  • Manage the church facilities calendar, process facility usage requests, and communicate updates or changes to relevant parties.

Communications & Media

  • Scan and email copies of weekly connection cards to staff and the Prayer Team director on Monday mornings.
  • Participate in the communications/production portion of weekly staff meetings.
  • Prepare and send Vista’s weekly email newsletter and occasional church-wide communications.
  • Upload weekly sermon notes to the ChurchCenter app.
  • Assist in maintaining the church’s events webpage.
  • Manage and update the church’s social media accounts (Facebook and Instagram).
  • Design and post weekly event posters in restrooms.
