General Overview 

In a full-time capacity, this position reports directly to the Managing Director of Administrative Services (MDAS) and Accounts Payable Supervisor (APS) in a joint roll. As Payroll Specialist, the position provides assistance to all campuses and institutional staff with regards to any payroll related questions and prepares and processes/transmits payroll through Paycom This position will also be one of the institutional “experts” of Paycom.  As Accounts Payable Specialist, will provide assistance to the APS in all AP aspects and upper-level support to the Director of Finance.

Specific Responsibilities

Payroll Specialist

  • Process/transmit payroll changes and payroll through payroll system for Work Study, Faculty and Staff
  • Work with all employees for payroll related items and issues
  • Assist MDAS Housing Allowance request for needing approval by the Executive Committee
  • Assist with yearly participation reports and open enrollment for major insurance plans
  • Assist with research data and prep of reports for ATS, SACS, IRS, and other reports when needed
  • Assist with computation of retirement plan year end contribution and fiscal year estimates
  • Assist with yearly audit of RTS and RTS Foundation
  • Assist all employees with Paycom questions, as needed
  • Crosstrain and assist MDAS with employee onboarding, as needed
  • Assist with other projects under the direction of the MDAS, CFO or other institutional departments, as needed

Accounts Payable Specialist

  • Assist the management of the organizations Accounts Payable
  • Assist with processing Employee Reimbursements and Honoraria
  • Assist with entering invoices into financial software
  • Assist with the issuing checks/EFT payments
  • Setup vendors and maintain within financial software
  • Assist with creating and issuing 1099 forms
  • Communicate with business managers at geographically dispersed campuses, as needed.
  • Other tasks and projects as assigned by AP Supervisor, Director of Finance and CFO.

Education and Experience Requirements

  • Bachelor’s degree preferred. Accounting or Business focus, preferred.
  • Strong work tenure: two years in payroll, business setting or corporate experience.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and CMS
  • Self-starter who is comfortable in managing projects to completion.
