Counseling Ministry Assistant and Intake Coordinator

Job Description:

The Ministry Assistant provides support to the Counseling ministry, under the supervision of the Director of Counseling, in its efforts to enhance the overall well-being of the McLean Bible Church (MBC) communities.

The Ministry Assistant serves the Director of Counseling by attending to the general operation of the ministry and assists in addressing the Church’s short- and long-term goals. Ongoing administrative assistance to the counseling ministry includes but is not limited to, support in the execution of caring initiatives, receiving and assessing incoming counseling needs for assignment of care, assisting in ministry operational needs, and support of caring ministries under the oversight of the director of counseling.

The Assistant will be expected to have a true passion for serving as a source of confidential care (spiritual and emotional), and for providing information crucial to one’s mental health needs. Attention to detail is required to accomplish all reporting and administrative tasks. Good time management of both oneself and the scheduling needs related to the ministry.

This role requires a general understanding of counseling and may require engagement in counseling-related situations.

The following items describe some of the ways this individual will accomplish this task:

  • General office duties such as preparing and sending emails and reports, scheduling meetings, printing needs, organization and presentation of the counseling offices, preparing agendas and weekly reports.
  • Assist with various ministry events – provide logistical support and coordination for events including the organization related to funerals inquires/requests.
  • Coordinate the intake of all counseling requests. Help facilitate connection of congregants to potential care opportunities.
  • Provide limited care and counsel in situations that are assigned.
  • Handle information requests: referral requests, receiving visitors and intake related requests, etc.
  • Aid in evaluation and implementation of related programs and activities.
  • Provide financial record – keeping and support for the counseling and other care-related ministry (including handling disbursement requests, setting up and tracking expense and budget accounts, preparing invoices for payment, requesting reimbursement for ministry expenses, ordering supplies; use MBC’s expense reporting system – Concur)
  • Provide database entry in MBC’s data management system (Ministry Platform and Biblicare) as needed for people and ministries connected to counseling.
  • Recruit and supervise volunteer help, as needed.
  • Other duties as assigned by the Director of Counseling.

Position Qualifications:

  1. Minimum of two years’ experience in administration
  2. Associate degree preferred, at a minimum. However, will consider education/experience.
  3. Must have general experience working in counseling situations and able to be supportive in crisis situations. Counseling training desired but not required.
  4. The Ministry Assistant must be able to quickly transition from one project to another and be able to manage multiple projects while meeting deadlines.
  5. Must be able to work well with others as an encouraging and supportive team member.
  6. Must be detail oriented and organized.
  7. Must be self-motivated and have confident decision-making abilities.
  8. Must possess excellent verbal and written communication skills.
  9. Must have a high level of computer knowledge.
  10. Must have good people skills and be comfortable engaging people’s stories for assessment and referral.
