Job Description:
General Overview
This role will serve as the first point of contact to patients at the Oviedo Counseling Clinic. The Counseling Clinic Coordinator will report directly to the Counseling Clinic Director.
Specific Responsibilities
Clients
- Maintain confidentiality and HIPAA compliance
- Manage schedule databases and update with appointment schedules and changes
- Notify interns of schedule changes
- Greet and check-in clients
- Notify interns when their clients arrive, oversee room usage, inform counselor of double bookings
- Maintain paperwork, both hard copy and electronic storage, maintain file cabinets
- Receive payment for administrative fees
- Reconcile invoices and payments daily
- Send invoices when needed
- Manage 3rd party payment arrangements
- Purge past clients files according to schedule
- Ensure counseling rooms are ready for client
Interns
- Interns Assist interns when need to reschedule clients
- Set up new interns’ personnel files and verify all paperwork is complete
- Create and copy new supervision logs for each intern and supervisor each
semester - Assist will new intern Orientation and Training
Coordinators
- Check and respond to email and voicemail
- Export financial records
- Maintain scholarship database
- Maintain all forms files
- Purchase, order and maintain clinic supplies
- Answer phone, check messages
- Copy and maintain forms and keep them bins well stocked
- Interact with RTS IT support for any technical issues
- Print letterhead and envelopes
- Create communication and or flyers when needed
- File management for intern, clients and terminated clients
- Communicate problems with client satisfaction, intern satisfaction, etc.
- Assist with any other clerical work as required

- Volunteer Leadership: Proven ability to maintain and encourage volunteer involvement, development and empowerment while developing humans who glorify God
- Team- builder: Ability to organize, coach, encourage and continually evaluate the efficiency, effectiveness and health of the RTS Counseling Clinic
- Winsome: Ability to work with and maintain positive relationships with those inside and outside the clinic and in the mental health community
- Relationally Astute: Discernment in handling sensitive issues, managing conflict and maintaining confidentiality
- Communication: Demonstration of high emotional intelligence and excellent communication skills
Education and Experience
- High school diploma required, Associates Degree preferred
- Prior customer service and office experience is preferred
- Previous experience in health care reception is preferred
